While many fantastic opportunities exist at
school during the weekends, some students like to occasionally leave
campus on weekends and longer school breaks. School is closed and
students must leave campus over the Thanksgiving, Christmas and Spring
breaks. Parents of international students are encouraged to contact our
International Student Coordinator.
(Your son will complete and submit these "Leave Request" cards.)
By asking your son to
take this responsibility the procedure provides an opportunity for hall
parents, advisors, teachers and coaches to have input into your son's plans.
Standard weekends begin after the
Saturday morning classes/program finishes (typically at noon) and end with
chapel on Sunday evening at 7:00p.m.
Open weekends are those
that do not have Saturday morning classes/program. A student
may leave campus after his last class/program or athletic/school
commitment Friday evening or Saturday. School transportation will
not be available. These weekends
are October 30-31, January 15-16 and May 7-8
To leave for the
weekend,
the student must do the following,
Complete, get signed, and submit a "Standard Leave
Request" blue card by the preceding Wednesday.
Check the posted "Leave Report" on the preceding
Thursday to be sure he is listed correctly and respond to any comments on the
report
Confirm that he is not on the work-crew or campused list
If a student must
miss a mandatory school commitment: (e.g. class, Saturday morning program and/or
sporting event), he must get prior approval from the Director of Residence Life
and submit a signed yellow "Special Leave Request" card and follow
the same guidelines as above for the "Standard Leave Request"
or blue card (1,2,3).
Closed
weekends
are weekends that students are not allowed to leave campus except for school
sponsored programs. The first three weekends of the school year and
weekends preceding exam weeks are closed. Leaves will not be granted. These closed weekends are September 11-12,
18-19 and 25-26 as well November 13-14, February 19-20 and May 21-22.

Major breaks are times when the school is out
of session for longer than a weekend. For these breaks, we ask parents to
complete the following online forms that provide the
information needed in order to facilitate the safe and timely departure of
the students.
Parents and guardians of international
students are encouraged to contact our International Student Coordinator
Students must check with their coaches
regarding sports commitments before leaving for a break.

Please note that, except
under extraordinary circumstances, students are not permitted to leave early or
return late. Because early departures and late returns are very
disruptive, we ask parents' cooperation in coordinating travel arrangements
that coincide with the School's schedule of holidays and leave times. Only on rare occasions, such as family
emergencies or illnesses, are exceptions made to stated departure and arrival
times, and these must be approved in advance by the Director of Residence
Life. EXCEPTIONS WILL NOT BE MADE IN
ORDER TO ACCOMMODATE TRAVEL ARRANGEMENTS.
The school reserves the right to charge a $100 teacher preparation,
alternative assessment and/or proctoring fee for each class day, exam, or
school commitment missed or rescheduled before and after school breaks.
If purchasing a ticket, be sure to allow
enough time for your son to get through airport's security check-in.
Depending on the time students are excused from classes there are different
shuttle times to airports:
A) When students are excused at
10:00 a.m.:
To Charlottesville; arriving at Charlottesville
airport (CHO) before 11:30 a.m. If there is sufficient demand,
additional buses to Charlottesville will leave campus at 1:00, 3:00 and
5:00 p.m. Students who need transportation to the Charlottesville
train or bus station before 5:00 p.m. can make arrangements with the
Director of Residence Life when Leave Request forms are submitted.
To Dulles, VA; arriving at Dulles Airport
(IAD) before 2:00 p.m. and will drop the boys off at "Domestic
Departures".
B) When students are excused at
12:00 noon:
To Charlottesville; arriving at Charlottesville
airport (CHO) before 1:30 p.m. If there is sufficient demand,
additional buses to Charlottesville will leave campus at 2:00, 4:00 and
6:00 p.m. Students who need transportation to the Charlottesville
train or bus station before 6:00 p.m. can make arrangements with the
Director of Residence Life when Leave Request forms are submitted.
To
Dulles, VA;
arriving at Dulles Airport (IAD) before 4:00 p.m. and will drop the boys
off at "Domestic Departures".
If your son's return is delayed, or plans are
changed, please contact the Residence Life Office (434) 985-2811 x 142 or (434)
953-8834, before 4:00 p.m. if possible. Transportation from
airports is as follows:
From Charlottesville: Buses will leave
Charlottesville Airport (CHO) at 1:00, 3:00, and 6:00 p.m. Students
who need transportation from the Charlottesville train or bus station
before 6:00 p.m. can make prior arrangements with the Director of
Residence Life when Leave Request forms are submitted.
From
Dulles,
VA.: Buses will meet the boys outside in front of the "Domestic
Arrivals, Baggage Claim #5" door and leave IAD at 4:00 p.m. If
your Son is on the "Dulles Bus Leave Report List" but does not
meet the bus, he may be charged. If your plans change, please call
us.
International Students
Due to the infrequency of international
flights, students traveling internationally will be permitted to remain in the
dorms until 9:00 a.m. the following morning.Parents and Guardians
of International Students are encouraged to contact our International Student
Coordinator.
No Leave Request forms are required, however
parents are encouraged to communicate travel plans to avoid problems.
Undergraduates who are using our buses will be asked to sign-up, specifying
details, by May 18.
Graduating seniors: Seniors are free to
leave campus after commencement. School transportation will not be
provided.
Undergraduates: Undergraduates
may leave after final exams at 3:00 p.m. Students are not approved for earlier leave.
Transportation will be provided to
those who sign up by May 18 at the Residence Life Office:
Leaving Campus at 3:30 p.m. to
Charlottesville (arriving at Charlottesville Airport around 4:00 p.m.)
Leaving Campus at 3:30 p.m. to
Dulles (arriving at Dulles before 7:00 p.m.). Boys will be dropped off at
"Domestic Departures."
